Start a short, factual record
Write down the date, approximate time and room. Add the closest feature: a pipe opening, cabinet, door or stored item. If you saw movement rather than the animal clearly, say so. A useful report separates what happened from your explanation of why it happened.
Look for a pattern in your observations
Keep later sightings in the same record. Describe whether they are in the original room or another part of the property. Mention packaging damage or other evidence you have already noticed without treating every mark as confirmation. An existing photograph may help; do not handle an animal for a picture.
Include the person who controls shared access
If a basement, refuse room or adjoining unit may need checking, explain who can authorize entry. For a rented apartment, report the concern and relevant maintenance issues to the owner or manager. You can begin your own enquiry while making clear which access arrangements are still pending.
Ask for a scope you can understand
Before agreeing to work, ask which rooms will be checked, how findings will be explained and whether monitoring or entry-point repairs are included. Keep the proposal with your sighting record so you can describe changes at any follow-up.
